Some of these forms are online forms, while others require you to print, complete, and either bring on your first day, or you can scan them to Nicole (nbutters@whiteplainschildrenscenter.org). If you do not have access to a printer, please let us know, and we will make sure to have copies of the forms that require printing available on your first day.

If you have been hired for a full-time position and are eligible for insurance, the necessary enrollment forms are listed below. Details about insurance premiums and benefits coverage are available under the employee resources tab to the left. If you’d prefer to opt out of the health insurance provided by WPCC, there is a section in the health insurance enrollment form you will need to complete. If you’d prefer to opt-out of the dental and/or vision insurance provided by WPCC, there is a place to do so on the dental & vision insurance enrollment form below.

North Carolina Law requires that a criminal history record check be conducted on all persons who provide child care in a licensed child care facility and all persons providing child care in non-licensed child care homes that receive state or federal funds. Each prospective child care operator and provider age 16 and older, must complete the criminal background check and have a valid CBC Qualification letter prior to:

  • Being hired by a child care facility
  • Receiving a license to own or operate a child care facility
  • Working as a substitute in a child care facility
  • Working as an uncompensated provider who will be counted in the staff/child ratio or left alone with children in a childcare facility

A Qualification letter is valid for three years from the date of qualification. Each child care provider age 16 and older must re-submit forms to complete the criminal background check every three years thereafter. All providers are required to maintain a valid qualification letter to continue to work in a child care facility. The forms to complete the criminal background check for requalification may be submitted up to six months prior to the expiration date.

All staff must have a current NC Criminal Background Check Qualification Letter before beginning their first day of work.  If you already have a current qualification letter, click on the tab ‘Document Upload’ to the left and follow the directions to submit it.  If you need to obtain an NC Criminal Background Check Qualification Letter please follow the steps listed below.

PROCESS STEPS

Step 1 – Make fingerprinting appointment

Step 2 – No more than 7 days before your fingerprinting appointment, complete your online background check

Step 3 – Print online background check materials & receipt of payment

Step 4 – Go to fingerprinting appointment

Step 5 – Wait 5-7 days (*Note: Results are dependent upon processing times, which are subject to change.) and be on the lookout for an email stating your results (your decision letter) are available for review in your NCID account.

Step 6 – Submit your qualification letter and receipts to WPCC administration

FINGERPRINT STEPS

  1. You may only get fingerprinted at locations approved by NC DHHS on this list of approved fingerprinting locations. Please call the location of your choice to learn their hours for fingerprinting.
  2. You can schedule an appointment online for Wake County fingerprinting at the Wake County Detention Center at this link: Wake County Fingerprinting
    • CCBI fingerprinting services are by appointment only. No walk-ins.
    • Choose ‘Fingerprinting’ when making the appointment.
    • Fingerprinting services cost $30
    • Payments accepted: cash, NC check, or credit/debit card
  3. What do I need to bring to my fingerprinting appointment?
    • A valid, government-issued photo ID for identification
    • All forms printed from your NC Child Care Criminal Background Check application
    • Form of payment
  4.  Your fingerprinting appointment will take approximately 10-15 minutes. Trained technicians will look up your appointment information, verify your identification, and collect your fingerprints. NOTE: During COVID-19, you may be required to wear a mask and/or to undergo a health screening (temperature and COVID screening questions) before you can be printed, so please plan to arrive 20 minutes prior to your appointment.
  5. Save your receipt! If you have been offered employment at WPCC, we will reimburse you the fingerprinting fee.  Reimbursement will not be provided without proof of receipt.

ONLINE BACKGROUND CHECK STEPS

IMPORTANT: Complete Online Background Check Step 1 ONLY once you are scheduled to get fingerprinted within 7 days! If you do not complete fingerprinting within 7 days, your application will expire, and you will need to reapply and pay the application fee again.

Do you already have an NCID?  If so, skip to step 5.

Step 1 – Create an NCID in the NC Identity Management System – https://ncid.nc.gov/idmdash/#/default 

Step 2 – Click “Register” in the bottom right corner

Step 3 – Click “Individual” as the user type

Step 4 – Follow Instructions to Set Up NCID, including creating your own username and password of your choice

  • DO NOT LOSE your NCID login and password info & DO NOT share your NCID with ANYONE!

Step 5 – Follow this link to the NC Child Care Criminal Background Check portal. https://ncabcms.nc.gov/DCDEE/Applicant/

Step 6 – Review the tutorials on the CBC website PRIOR to entering any information.

Step 7 – Once ready to proceed, click the green ‘Click Here to Apply’ button and then log in using your NCID username and password (*you may be prompted to click a green ‘Continue’ button to see the login screen)

Step 8 – Fill out your information.

  • Make sure your name is exactly as listed on your government-issued photo id.
  • Make sure your name and birthdate are correct as you cannot change this information after clicking yes.
  • Add address information. If you have not lived in NC for at least 5 years you will be required to provide some additional information in regards to your previous addresses.
  • Continue to fill out contact information and personal information (the email address you provide here will be how you access your results later). Also, if you do not receive an email confirmation check your spam or junk folder.
  • Fill out your work information. Facility Name: White Plains Children’s Center / Facility ID: 9255200 / County: Wake
  • Check boxes for a release authorization
  • Review all information, verify and submit
  • Pay $25 plus a $1.50 convenience fee ($26.50 total cost)

Step 9 – Print Fingerprint Forms

  • Take these forms with you to get fingerprints. You do not manually need to fill out any information before your fingerprinting appointment.
  • You MUST complete your fingerprinting within 7 days of completing this application, or you will have to re-apply and pay again.

OBTAINING YOUR RESULTS

  1. Your fingerprints will be submitted electronically by the sheriff’s department or police department where you are fingerprinted.
  2. Results of fingerprint-based checks are typically received within 5-7 days. Note: Results are dependent upon processing times, which are subject to change.
  3. You will be emailed when your results (your decision letter) are available for review in your NCID account. If you do not receive an email with your results within 7 days, please check your spam folder.
  4. Use your NCID username and password to sign in to your account and select “Decision Letter” under “My Reports”. The decision letter will let you know if you are qualified to provide child care in NC based on your background check results.
  5. Download and save your results as a PDF on your computer.
  6. Email your results to: nbutters@whiteplainschildrenscenter.org

As part of the federal Child Care and Development Block Grant Fund stipulations, states must have pre-service or orientation and ongoing training requirements in place for child care providers.

Required Health and Safety Training Content Areas include:

  • Prevention and control of infectious diseases, including immunization;
  • Administration of medication, with standards for parental consent;
  • Prevention of and response to emergencies due to food and allergic reactions;
  • Building and physical premises safety, including identification of and protection from hazards that can cause bodily injuries such as electrical hazards, bodies of water, and vehicular traffic;
  • Emergency preparedness and response planning for emergencies resulting from a natural disaster, or a man-caused event;
  • Handling and storage of hazardous materials and the appropriate disposal of bio-contaminants;
  • Precautions in transporting children, if applicable;
  • Prevention of shaken baby syndrome and abusive head trauma and child maltreatment
  • Recognizing and Responding to Suspicions of Child Maltreatment
  • Prevention of sudden infant death syndrome and use of safe sleeping practices.

ENROLL IN HEALTH & SAFETY TRAINING

Step 1: Go to this site – https://www.dcdee.moodle.nc.gov/

Step 2: Login in the upper right-hand side using your NCID username and password (you created for your background check).

Step 3: Look at the picture carousel for the one that reads ‘View Early Childhood Professional Development Training’ (click).

Step 4: You will see the different Units at DCDEE. Click on the Unit that says ‘Regulatory’

Step 5: Click on the course title ‘CCDF Health and Safety in Child Care’ – then click ENROLL Me.

TRAINING COMPLETION ORDER

Once enrolled in CCDF Health & Safety in Child Care.  Complete each training.

 

You must complete the following training in the first two weeks of your employment:

  • Prevention and Control of Infectious Diseases, Including Immunizations
  • Emergency Preparedness and Response
  • Building and Physical Premises Safety
  • Prevention of Shaken Baby Syndrome, Abusive Head Trauma, and Child Maltreatment
  • Prevention of Sudden Infant Death Syndrome and Use of Safe Sleep Practices

The remaining training must be completed within the first six weeks of your employment:

  • Handling and Storage of Hazardous Materials and the Appropriate Disposal of Bio-contaminants
  • Precautions in Transporting Children
  • Prevention of and Response to Emergencies Due to Food and Allergic Reactions

MEDICATION ADMINISTRATION TRAINING

Additional training required within the first 6 weeks of your employment is ‘Medication in Child Care’

Step 1: Go to this site – https://www.dcdee.moodle.nc.gov/

Step 2: Login in the upper right-hand side using your NCID username and password (you created for your background check).

Step 3: Look at the picture carousel for the one that reads ‘View Early Childhood Professional Development Training’ (click).

Step 5: Click on the course title ‘Medication in Child Care’ – then click ENROLL Me.

Step 6: Click on the tab ‘2o22 Medication in Child Care’ and complete modules 1 & 2.
